Field2Office Terms of Service
Effective when published and accepted in your account.
1. Operator and business use
Field2Office is operated by Robert Sparrow, a sole trader trading as Field2Office, at 7 Windermere Close, Daventry, NN11 9ED, United Kingdom. Contact hello@field2office.co.uk. The marketing site is https://field2office.co.uk and the platform is https://beta.field2office.co.uk and its business workspace addresses. These terms cover the online service and Android companion. The service is supplied for business use. The account holder must have authority to act for the business. The Privacy Notice and Data Processing Addendum apply alongside these terms.
2. Service and your responsibilities
The service provides customer records, jobs, bookings, quotes, invoices, receipts, document templates and approved email sending. Optional functions include Google Calendar and Annie, the AI assistant. Check generated content, prices, tax calculations, recipients and paperwork before approval or sending. AI-assisted business actions require your approval. Recorded customer payments are your entries; they are not bank verification. The service is not an accounting, legal, tax or regulated trade-advice service. You remain responsible for your customers, your work and your statutory records. The current service is a working beta. Internet access is needed for live information. A workspace has an owner account and paired devices; separate technician permissions and job assignment are not included.
3. Access and security
Use a unique password, protect activation and recovery codes, and enable account two-factor authentication. Only share access with authorised people. Pairing a phone permits access to workspace information; disconnect lost devices and revoke browser sessions when necessary. Contact us promptly about suspected misuse. We may suspend access for security, unlawful activity, material breach or non-payment, giving an explanation where lawful and practicable.
4. Trial and subscriptions
The standard free trial lasts 30 days from account activation. No card is required for that trial. It does not become a paid subscription automatically. To continue on a paid plan, choose a subscription in your account and complete Stripe Checkout. The advertised UK plan is GBP 39.99 per month. Robert Sparrow is not VAT registered and no UK VAT is added. Foreign-currency prices are available only when expressly configured and displayed; changing a symbol does not change a GBP price. Overseas tax and availability must be confirmed before an overseas paid launch.
A paid subscription begins when you purchase it, including if you choose to purchase before the free trial ends. Stripe displays the charge and renewal details before you confirm payment. Paid subscriptions renew monthly until cancelled. Cancel future renewal through Manage subscription in your account. Cancellation normally takes effect at the end of the paid billing period. Refunds are considered for service faults and billing mistakes; no general pro-rata refund is promised, without limiting mandatory legal rights. Contact us if the portal is unavailable. A deletion request alone does not cancel a subscription. We will give at least 30 days' notice of a change to your recurring price and allow cancellation before it takes effect. Existing agreed prices are not automatically replaced by a new advertised offer. No lifetime price lock is promised.
AI and voice usage allowances apply and are displayed in the account settings. There is no automatic charge for exceeding an AI allowance; manual functions remain available. The trial end date, suspension and subscription status determine workspace access.
5. Business data and integrations
You control the customer and job information you enter. You must have an appropriate lawful basis and tell your customers how their information is used. Do not upload information unnecessary for your work, special-category information or full payment card details. We process workspace data to provide the service on your instructions, as set out in the Data Processing Addendum. Optional AI, document-email and calendar features transmit necessary information to their providers. Review recipients and documents before sending. Managed document emails are visible to authorised operators in the platform's Resend account; replies go to your business mailbox and are not automatically imported. Google Calendar synchronisation is one way from Field2Office and checks the connected primary calendar; Google edits are not imported and customer invitations are not sent.
6. Availability, support and acceptable use
Support is available at hello@field2office.co.uk. We do not promise uninterrupted operation or a particular support response time. We will provide reasonable notice of planned maintenance or changes materially reducing paid functionality where practicable. Keep suitable independent copies of critical business and financial records. Do not send spam, upload unlawful material, infringe others' rights, bypass security or overload the service. AI outputs can be inaccurate and must be checked.
7. Ending the service and data
You may cancel renewal and request an export or deletion through your account. Exports include structured records; download job photos separately while access is available. Deletion is reviewed to verify identity, reconcile subscriptions and identify records that must lawfully remain. We explain any retention exception and backup/provider handling before confirming erasure. Inactive, cancelled or expired accounts are not automatically erased at the trial end date. Retention and rights are explained in the Privacy Notice. Either party may end the agreement for a material breach not remedied within 30 days of notice, or immediately where it cannot reasonably be remedied. Refund and other rights required by law remain unaffected.
8. Liability and disputes
Nothing in these terms excludes liability for fraud, death or personal injury caused by negligence, or liability that cannot lawfully be excluded. We are responsible for reasonably foreseeable loss caused by our breach, subject to applicable law and your obligation to take reasonable steps to reduce loss. No blanket exclusion of data-protection or confidentiality duties is made. You remain responsible for checking outputs and decisions about your work. Contact hello@field2office.co.uk to resolve a concern. English law applies, with the courts of England and Wales having jurisdiction, subject to mandatory law.Published 2026-10-14 · Version ba87d029d2f2
